Information we use

When you enquire, we receive the name, email address, optional telephone number, project location and message you provide. Further correspondence may include plans, project specifications and information needed to prepare a quotation or carry out the work. Please avoid sending sensitive personal information through the form.

Our hosting service may process technical request information such as IP addresses, request times and browser details for website operation and security. The form uses short-lived counters based on a hashed IP address to limit repeated submissions.

Why we use it

We use your enquiry to respond, discuss the work and prepare a requested quotation. Where you are the prospective customer, this is necessary to take steps at your request before entering a contract, and to carry out a contract if work proceeds.

We also have legitimate interests in responding to business contacts, keeping relevant correspondence and protecting the website from misuse. Where records are required by tax or other law, we rely on that legal obligation.

We do not use the website form to subscribe you to marketing. We do not make automated decisions about whether you can use our services.

Where your enquiry goes

The website is hosted by Fasthosts. Form submissions are sent by email to Rob at rd@clarityinstallations.co.uk. Hosting and email providers process the information to deliver and protect those services. The website form does not maintain a separate database of enquiry messages.

Relevant details may be shared with people working on your project, professional advisers or authorities where needed for the work, administration or legal obligations. We limit this to information needed for the purpose. We do not sell enquiry details.

Service providers may use international infrastructure. Where processing involves a restricted transfer of personal information outside the UK, the required data protection safeguards must apply. Contact us for details relevant to your information.

How long information is kept

Enquiry correspondence is kept for as long as needed to deal with your request, related follow-up and any dispute. If work proceeds, relevant records are kept for the project and applicable accounting, tax and legal requirements. The appropriate period depends on the record and purpose; information should be removed when it is no longer needed.

Form rate-limit counters expire logically after one hour and expired entries are cleared during subsequent submissions. They do not contain your message or contact details. Email and hosting systems have their own storage and backup arrangements.

Cookies & website storage

The enquiry form uses an essential session cookie named clarity_enquiry. It links your browser to a security token to help prevent forged submissions. The cookie is marked Secure, HttpOnly and SameSite Strict and has no persistent expiry; it normally lasts for the browser session. The form token is valid for up to two hours.

This website does not include analytics, advertising trackers or third-party embedded fonts. You can block cookies in your browser, but the form may then fail. You can still contact us by telephone or email.

Your rights & questions

Depending on the circumstances, you can ask to access or correct your personal information, request deletion or restriction, object to processing based on legitimate interests, or request a portable copy of information. These rights are subject to legal conditions and exemptions.
